Running Your Orders
Every order follows the same path, from a customer’s request to a delivered, paid order. Here is who does what, and where to tap.
The five tabs.
- Home: what requires your attention now.
- Today: the actual work. Pickups, In the Shop, and Deliveries.
- Upcoming: confirmed pickups for the days ahead, read-only.
- Messages: conversations with customers, with quick replies.
- Orders: every order, newest first. Tap one to open a detailed view.
| Step | What happens | Where |
|---|---|---|
| 1. Request | Customer asks for a pickup. You confirm or decline. | Home |
| 2. Pickup | Driver picks up the garments. | Today |
| 3. Intake | Count the items, set the amount due. | Today |
| 4. Cleaning | Start cleaning, then mark ready. | Today |
| 5. Delivery | Driver delivers and records payment. | Today |
1Confirm or decline a request
Home → New Requests- Open the request to see the customer, address and the time they chose.
- Tap Confirm request. The customer is told, and the pickup lands on Today for that day.
- Can’t take it? Tap Decline request and pick a reason. The customer is told, and the time slot is released.
2Do the pickup: two taps
Today → Pickups- Everyone sees the same list of today’s stops. There’s no dispatching: starting a stop claims it.
- Tap On my way. The customer gets a simple “Your driver is on the way” message. There is no location tracking and no arrival times.
- At the door, tap Picked up. Adding a photo is optional but recommended.
- Several stops at once? Press and hold one to select more, then tap On my way for all of them.
Couldn’t complete it? Tap Mark as not completed and say what happened. The customer is told, and it goes to Needs Attention on Home.
3Count the items at intake
Today → In the Shop- Tap Count items. Every item type is a row. Tap + and −, or tap the number and type it. Use Something else for anything not on your list.
- Enter the amount due. It’s needed before cleaning can start, and it’s the figure your customer sees and pays.
- Add your own store ticket number (a tag or POS number) if you want to match the order with your own system. It shows on the shop, delivery and order cards.
Made a mistake? Tap Fix the count / amount due once the order has been counted.
4Clean it and mark it ready
Today → In the Shop- Tap Start cleaning when the order goes on your rack or line, then Mark ready for delivery when it’s done.
- The customer sees each step in their app: Being cleaned, then Ready for delivery.
Something to sort out with the customer? Open the order from Orders and tap Put on hold, then choose or write the reason. The customer is told, and the order waits on Home under Needs Attention until you continue it.
5Deliver and record payment
Today → Deliveries- Tap On my way, then Delivered at the door. A photo is optional.
- If there’s a balance, you must answer “Did you collect payment?” before the delivery can be completed:
- Yes: confirm the amount (it’s filled in, and you can edit it) and the method: Cash, Card, Payment app, Check or Other.
- No: say why. The order shows up on the unpaid list.
Delivery didn’t happen? Tap Mark as not completed and the order returns to Ready.
Also good to know
Getting paid
- Paid in the app: if you’ve connected Stripe, customers can pay by card, Apple Pay or Google Pay. It is recorded for you automatically.
- Paid at the door or the counter: record it from the order: Orders → open the order → Record a payment. Partial payments are fine.
- Still owed: Owners and Managers see Account → Money → Unpaid for delivered orders with a balance, and Today’s collections for who collected what.
- Corrections: payment records are never edited or deleted. An Owner or Manager can void one with a reason by tapping it. In-app card payments can’t be voided in Clean Racer; refund them in your Stripe dashboard.
When something goes wrong
- Customer messages arrive in Messages. Tap a quick reply to fill the box, edit if you like, and send.
- Cancel an order that hasn’t been picked up yet (or one on hold): open it from Orders and tap Cancel order. The customer is told and the time slot is released.
- Wrong status? Owners and Managers can use Change Status To… on the order to correct a mistake or settle a dispute. It’s logged with your name and a reason.
